What it is and who uses it.

What is Vikings Workforce?

Vikings Workforce is a field operations and compliance platform. Crews capture work on a phone as it happens, and that capture becomes the record: digital forms turn into branded, versioned PDFs, safety assessments and briefings keep their evidence, fleet and driver compliance stay beside the vehicles they apply to, and dashboards report from the source submissions rather than from a rebuilt summary.

Who is Vikings Workforce for?

UK field contractors, including fibre and telecoms teams. In practice it is used by the supervisors and gangs doing the work, and by the office side who have to evidence it afterwards: operations managers, health and safety leads, fleet and transport managers, and training or compliance administrators.

Is there a mobile app?

Yes, for iOS and Android. It is offline-first, so crews keep capturing work without a signal and an outbox holds that evidence until a connection returns. It is also permission-aware, so each person sees the work that applies to them rather than everything. More on the mobile app.

Does it work without a phone signal?

Yes. The app is built offline-first because field work does not wait for coverage. Forms, checks and evidence are captured on the device and the outbox syncs them when a connection returns, so nothing is lost and nobody has to re-enter it later.

Data and access

Where records live and who can reach them.

Where is our data hosted?

Data is hosted in the UK. Each company is isolated at the database layer, so one company’s records are never visible to another.

How is our data protected?

Tenant isolation at the database layer, role-based permissions, multi-factor authentication available, activity and audit logging built in, and nightly backups. A published privacy policy explains what is held and why, and there is a data deletion request route. We do not claim any external security marks — the trust page states exactly what is in place.

Can we control who sees what?

Yes. Access follows role-based permissions, on the web and in the app. A crew member sees the work assigned to them; a manager sees the wider record. Multi-factor authentication is available for accounts that need it.

Can we get our records out again?

Yes. Every form submission produces a branded, versioned PDF you can send to a client or auditor, and submission search exports the underlying records as CSV. Your records are not locked to the screen they were captured on. More on dashboards and reporting.

Can we use our own forms and documents?

Yes. Forms are built with a drag-and-drop designer, so they follow your paperwork rather than a fixed template. Point-of-work risk assessments score against your own hazard and control library, your team controls the daily walkaround check content, and controlled documents are the ones you upload and version. Does it cover O-Licence and driver compliance?

Yes. The vehicle register keeps MOT, tax and insurance dates visible, daily walkaround checks and photo-backed defects flow into a triage queue, and maintenance obligations include 6-weekly PMI for O-Licence operators. Driver licence records hold check dates, expiry and points visibility, and assignment blocking can optionally use that record. More on fleet and drivers.

Is lone working covered?

Yes. A worker records an expected check-in before working alone, escalation follows if that check-in is missed, and the session history stays available for review afterwards. More on safety and compliance.

What it costs and what happens next.

How does pricing work?

£149 per month, including 10 users. Additional users are £12 per additional user per month after the first 10. Annual billing is £1,490 per year, which is two months free, with additional users priced the same way. There is no minimum beyond the base price, and a user means any active login, field or office. How do we get started?

It starts with a demo rather than a sign-up form. Tell us about your team and we arrange a person-led product demo and setup call, then the account is configured with you. Bringing one real process — a form you already use, a vehicle check, a training requirement — makes that conversation far more useful than a generic tour.
